Transaction Coordination Services List

PreListing Coordination

  • Complete listing file creation in Agent’s preferred software - e.g., Skyslope.
  • Fill out listing documents and send to Client along with any required disclosures for signatures.
  • Order preliminary title.
  • Add listing info into the MLS (Agent fills out listing comments/property description/private remarks).
  • Upload property photos (in order as instructed) to MLS.
  • Order For Sale sign and lockbox to be placed, if needed.
  • Ask the Seller to make copies of house keys for the lockbox.
  • Schedule a stager for consultation, if needed.
  • Schedule photographer for photo shoot once house is staged.
  • Input listing into the MLS will be marked “incomplete.”
  • Listing Agent will be required to edit or approve MLS input before going live.
  • Email seller copy of the listing.
  • Add required and extra documents to the MLS listing such as legal description, disclosures, property reports, maps.
  • Add all listing documents, disclosures and any other required documents to the broker's online compliance management software ensuring the file is complete.

Contract to Close Coordination

  • Coordinate opening of the file with escrow and handle all documents securely.
  • Send an introduction email, providing a timeline of deadlines with a copy of the executed contract to Co-Agent, Buyer’s Agent, Buyer/Seller - (your client as appropriate) lender, and title company.
  • Provide you with exclusive access to Folio by Amitree — an intelligent timeline tool that keeps your entire transaction organized from contract to close.
  • Ensure everything is fully executed with dates, initials, signatures, and broker information is completed.
  • Submit all required contract documents to Broker for compliance.
  • Send/request disclosure packages and gather signatures if needed.
  • Ensure the lender, title company and broker receive any amendments or changes to the contract.
  • Verify EM deposit and obtain receipt from escrow.
  • Verify inspection date and time. Ensure all parties have received reports to review.
  • Keep in contact with the title company and lender throughout the transaction. Provide Agent email updates on the status of the transaction, keeping you informed.
  • Update deadlines due to any changes in the contract on the timeline.
  • Collect HOA documents in accordance with deadlines and email to Buyer’s Agent (if on list side) or to Buyer (if on buyer side).
  • Order Home Warranty per contract, if needed.
  • Order HOA documents, if needed.
  • Confirm inspection(s) have been set up in accordance with the offer deadline. 
  • Monitor appraisal timeline and completion with the lender.
  • Coordinate and monitor Buyer’s loan status with lender.
  • Ensure your Buyer/Seller is provided a copy of all documents.
  • Remind Agent to draft Commission Disbursement. If TC is completing a CD request, the form MUST BE approved by Agent before submitting to escrow and compliance. 
  • Upload all disclosures, documents, and reports into the Agent's online transaction management service (Skyslope, e.g.) as they are received or fully executed throughout the transaction. 
  • Maintain constant contact with all parties involved for status updates as well as outstanding items.
  • Verify escrow has all required documentation.
  • Coordinate and confirm final walk-through, if applicable.
  • Schedule signing appointment for client and Agent, if applicable.
  • Conduct a final audit of the file 3 business days prior to closing to ensure all documents are uploaded and the file is complete. 
  • Confirm final recording and alert Agents.
  • Upload Final HUD/CD to online transaction management service for compliance.

Buyer Side

  • Upload Buyer’s Rep Agreement and all Broker required forms for compliance.
  • Submit all executed contracts, counteroffers, and amendment extensions (if applicable) to the lender. 
  • Arrange for EM pickup/remind the Buyer to wire as necessary.
  • Upload all forms, amendments, and addendums for compliance.
  • Follow up on repairs and receipts from inspection.
  • Give utility contact info and remind the Buyer to transfer utilities. 
  • Coordinate key transfer upon closing, if needed.
  • Send email to your client asking for a review on your preferred site. 

Seller Side

  • Upload Listing Agreement and all Broker required forms for compliance.
  • Follow up for signatures on all documents.
  • Upload all forms, amendments, and addendums for compliance.
  • Follow up on repairs and receipts.
  • Change the MLS Data Input to “pending” and “closed.”
  • Order the For Sale sign and lockbox be removed.
  • Coordinate removal of any staging furniture.
  • Send email to your client asking for a review on your preferred site.
